Assisted Import: upload your data into Katana without a template

Use Assisted Import to upload your data into Katana from any spreadsheet, as-is – CSV or Excel file – and Katana’s AI maps your columns to the right fields, without any need for reformatting.

Assisted Import works with your file format and lets you bring your existing inventory data into Katana from any spreadsheet, as-is. Drop in a CSV or Excel file, and Katana’s AI maps your columns to the right fields. You don’t need to reformat your data or use a specific template.

What you can import

Assisted Import covers create and update across the entities your operation runs on:

Products and materials: create new items or update existing ones, including SKU, prices, category, supplier, lead time, minimum order quantity.
Customers and suppliers: create or update records and contact details
Stock levels: set stock quantity, value or unit cost, safety stock and default storage bin on items that already exist, one location per import.
BOMs: create a bill of materials from a file. If the product or its materials are not yet in Katana, they will be created automatically – ready for you to add cost.

Re-importing to update existing records works too. Assisted Import matches each row against what’s already in Katana and updates it.

How it works

Go to Settings -> Import and more -> Data import and pick the entity you want to import. Upload your file. Katana reads the first sheet of any CSV, XLSX, or XLS and proposes a Katana field for each column, tagged High, Medium, or Low confidence so you know where to review.

Before the import starts, you’ll see a full preview. Rows are split into Create, Update, No changes, and Flagged, with the changing fields highlighted on every update. Every cell is editable at this point, not only the flagged ones. Once you confirm, the import runs in the background and you’ll get a summary when it’s finished.

Two ways to import

Prefer a template, or importing batch and serial stock, operations, sales orders, or price lists?
Those paths are still in Settings → Data import. Files over 5,000 rows and multi-sheet imports also use templates.
